Quicker Answers Via Intelligent Technology (QAVITE): An Intelligent Assistant For Handling Frequently Asked Questions Of Students In Cavite State University - Main Campus

Challenge

University students often face difficulties navigating their environment, especially with communication and information access. To address these challenges and improve student interactions, the QAVITE system, an intelligent chatbot powered by Dialogflow API and Natural Language Processing (NLP), is being developed to enhance information accessibility and provide precise, efficient responses.

Goal

Develop a mobile application and create a user-friendly and visually appealing interface to make university life easier and more enjoyable for students

Role

UI/UX Designer and Software Tester

Responsibilities

Conduct user research by engaging with students through surveys and interviews to identify their challenges and needs, which informed the application's development.
Designed and developed wireframes to define the application’s structure and user flow, ensuring a clear and intuitive navigation experience.
Work closely with team members to share insights, provide feedback, and support each other throughout the design process.
Establish a gridding system to ensure alignment, consistency, and a harmonious layout throughout the interface.
Select and design typography that enhances readability and aligns with the overall design aesthetic.
Select colors that reflect CvSU’s official brand colors.
Create mockups and interactive prototypes to simulate the application’s interface and functionality, enabling early testing and iterative design improvements.
 Conduct Manual Software Testing to identify bugs and errors and to ensure it functions as intended and meets quality standards.
Conduct Usability Testing by guiding participants through the tasks, observing their interactions with the application and encourage them to provide feedback during the process.

Design Process

User Research
- We conducted surveys and interviews from first year to fourth year across various departments and colleges at Cavite State University (CvSU) - Main Campus across various department and colleges to capture a wide range of feedback regarding their needs and pain points.
Research Findings
-
The outcomes revealed significant findings, with many students expressing challenges, particularly in communication and information accessibility. An interview conducted in the Office of Student Affairs and Services (OSAS) further supported these findings. The transitional period can be overwhelming for some, especially those grappling with communication difficulties, leading to feelings of shyness, fear, or embarrassment when reaching out to others. Prolonged waiting times for responses, along with a lack of clarity in communication, were identified as major contributors to these challenges, resulting in increased confusion and disorientation.
Design System

Selected a color palette that reflects Cavite State University’s official brand colors. Chose and designed typography that enhances readability and complements the overall design aesthetic of the application.
Wireframing

We developed wireframes for our chatbot mobile app which serve as a guide and to visualize the user interface.
Prototyping

We created prototypes to simulate the chatbot app’s functionality and user interactions, allowing us to test and refine the design before full development.

Testing
1. Manual Testing and Automated Testing

- Manual testing was conducted to inspect and monitor the functionalities of the application and to ensure they performed as intended. This testing involved various approaches, including Unit Testing to verify individual components, Integration Testing to assess the interaction between components, System Testing to evaluate the entire application as a whole, and Accuracy Testing using Selenium to ensure the chatbot's responses were correct and reliable.
2. Usability Testing
- Following manual testing, we conducted usability testing from real users to evaluate how user-friendly and intuitive the chatbot app was, gathering feedback on its ease of use and overall user experience to make necessary improvements

Reflection

Our design concept effectively addressed the user’s need. I was able to learn about why responsive design decisions are vital to the success of such design, as well as the need to provide specific value and a different/unique experience for different types of digital interfaces. This project allowed me to push myself on how our design might be able to address similar needs in dynamic circumstances and then adapt our design accordingly. I was also able to understand that by thoroughly testing—through manual, usability, and other methods—we can enhance reliability, usability, and overall satisfaction, ultimately leading to a more polished and effective product.
